Everyone Needs to be Professional & Proficient when ADDRESSING their Customers

What does (Z-I-P) in the word ZIP code stand for?

Where do you go to check an address?

"The United States Postal Service"

Click on www.usps.com  (Watch for the ZIP+4 Lookup) in the upper left hand red ribbon area

*** You may want to print this page before going further to follow the instructions ***

At the USPS Website, go into the (Find ZIP Codes) Lookup.

It is very important when you look up an address to include the FLOOR, SUITE, or ROOM number, if there is one.

SEE Example 2: (Also see the FAQ’s on the website)

On the www.usps.com web site write the following information into the ZIP+4 look up program as a test to see what the Postal Service recognizes as an address.

Example 1: Use either format (The street name is misspelled on purpose to show you what will happen)

8626 TALAMASKA DR                 OR                  8626 TALAMASCA DR

FRANKSVILLE WI _______                                ????? _____ 53126

THEN click submit. DO NOT USE A ZIP CODE, as THE SYSTEM WILL GIVE YOU THE PROPER ZIP along with the proper +4 unless you don’t use a City and State, then a ZIP Code is needed, see right side of example.

Example 2: Use either format

135 S 84TH ST                      OR                  135 S 84TH ST

MILWAUKEE WI ?????                                    MILWAUKEE WI 53214

You will see that several lines of addresses are being shown to you. It is very important that Suites, Rooms, Floors be included in your address. It will expedite your mail to you from the Postal Service as well as timelier delivery from your internal mail center.

Example 3:

N2468W8631 AARON LN (NO Space between Grids within the address)

MENOMONEE FALLS WI  (Try typing the address with a space between grids and see what happens)

REMEMBER: UPS – FedEx – Other Major Non-USPS Service companies CAN NOT deliver to a PO Box. PO Boxes are addresses to which ONLY the United States Postal Service can deliver to. If used when sending with UPS, FedEx and others, this would initiate an address correction charge. See below: $$$$$$ Lost Revenue, Reduced Profit Margins.

HINT: Careful, because DUAL Addressing will not always fix this problem, if you use the PO BOX Zip code.

Some PO BOX addresses have a unique PO BOX ZIP Code assigned to them and this shows up in major shipping companies databases. Some shipping companies will bill you for an address correction based on using a PO BOX ZIP code. In some cases you will also see address correction charges for not using a Suite, Room or Floor.

This is why you MUST use the USPS link to check you database when individual look ups are needed.

For larger Database Standardization needs, see my links page.

It Adds Up Fast!

Have someone dedicated to correcting the addresses immediately so the same charge is not repeated. Think about it if you're not changing the address and the cost associated with that if you're making monthly mailings to the same persons.

HINT: If the lookup system shows an error and you cannot correct it manually, call your local Post Office in that ZIP code and discuss the address with the delivery supervisor.

How do you find your local Post Office and Phone Number?

Same site: www.usps.com

then click on “Locate Post Office” for your address or ZIP.

Study your address corrections

share your new information with those responsible for the databases where the address resides. Make sure that other departments using the same database understand proper address database hygiene.

It takes time, but eventually your Company’s efficiencies will increase
